GRANTS OFFICE PROCESS


Once you have identified a funding source, you are ready to begin developing your proposal. The following steps should be followed as you work your way through the grant process:

  • Carefully read the application materials and follow directions.
  • Always notify your dean or supervisor of your intent to submit a proposal.
  • Utilize the expertise of the NSU Grants Office as needed.
  • Remember that even if you do not need the services of the NSU Grants Office in proposal preparation, you will need to supply a copy of the proposal to this office as we are required to file an intent to apply form with the Office of the Executive Director-South Dakota Board of Regents. Also let the Grants Office know in advance if you are planning to submit a proposal as there are a number of other administrative requirements. The NSU President or other administrative personnel usually sign off on proposals so we need to be sure that the appropriate person will be available.
  • If appropriate, visit with a representative of the funding agency and discuss your ideas with them. The visit may be via telephone, letter, e-mail, or a personal visit whenever possible--you may be able to pick up valuable tips from these contacts.
  • If possible, attend a workshop sponsored by the funding agency as these sessions sometimes provide valuable information not contained in the application material - federal agencies generally provide these workshops free of charge.
  • Write the grant proposal in a concise and positive manner avoiding unsupported assumptions.
  • Review your completed proposal and make sure that it is neatly prepared and error free.
  • If appropriate, allow the grants office and/or a colleague to review the application.
  • If the proposal is not funded, you will need to notify the grants office. Also, get reviewers comments whenever possible, and perhaps the grant application can be resubmitted with some changes. Remember that each year a number of resubmissions are funded.
  • If a project is funded, you will need to notify your dean/supervisor and the NSU Grants Office.
  • You will need to review the terms and conditions (Award Letter) of your funded project with the NSU Grants Office unless you feel that you are fully aware of both your and the institution's responsibilities relative to the grant.
  • You will need to work with the finance office to set up an account.
  • Get the grant started on time and complete the necessary activities in a timely manner.
  • Make all necessary reports on time.
  • If you have problems and/or questions, please call the NSU Grants Office and/or your contact person listed in the funding agency's terms and conditions (Award Letter).
    Address all problems immediately.
