MEDIA SERVICES EQUIPMENT CHECKOUT POLICY

Long Term Checkout

  • Only staff may request equipment for semester-long use.
  • Electronic equipment including laptops will not be checked out long term. These items are in constant use by the campus and cannot be out of circulation for long time periods.
  • This is for low-tech equipment such as slide projectors and audio cassette players.
  • The equipment will be assigned to a faculty or staff person not a room.
  • The equipment that is left in a requested room for the semester, is still the responsibility of the staff person.
  • The equipment will be delivered when requested and picked up at the end of the semester.

Weekly Checkout

  • Only staff may request equipment for weekly use.
  • This is for all equipment that must be setup or installed and that must be stored on a daily basis.
  • Staff may request equipment for longer periods, but they will scheduled on a daily basis.
  • Because of the limited number of electronic presentation equipment they will be scheduled on a daily basis.
  • The equipment that is left in a requested room for the semester, is still the responsibility of the staff person.
  • NSU MEDIA SERVICES needs to serve one-time events that cannot be repeated and will tend to give priority to those events.
  • 24 hours prior to delivery day the NSU MEDIA SERVICES staff will determine if deliveries can be met and then schedule the next days deliveries at 5:00PM the previous day.
  • If equipment scheduling conflicts are present, then the NSU MEDIA SERVICES staff will work to resolve those conflicts and notify staff by phone and/or email as to the resolution. Resolution may involve use of alternative equipment. The NSU MEDIA SERVICES staff will then schedule the next day’s deliveries at 5:00PM the previous day.

Daily Checkout

  • Students and staff may request equipment for daily use.
  • Students must use the equipment in a classroom.
  • Students use of equipment in the dorms or Student Center will be upon NSU MEDIA SERVICES approval only and will depend on the necessity of locked storage of the equipment or safe return to the NSU MEDIA SERVICES. Any necessary repair or replacement of this equipment will be billed to the sponsoring organization.

Production Equipment Checkout

  • Students and staff may request equipment for daily use.
  • All requests for use of production rooms or production equipment will be referred to the Director of Media Services for assignment to the appropriate pro staff and/or student assistants.
  • Production requests usually require coordination of several staff members and multiple equipment (digital cameras, microphones, mixers, etc)
  • Support for a speaker or presenter with microphone and audio amplification is a production event and must be planned in advance.

Digital Camera and Digital Video Checkout

  • Students and staff may request equipment for daily use.
  • This equipment will not be checked out for long-term use. It is designed for short-term project use lasting only hours or 1 or 2 days.
  • Each item will have a unique number that will be recorded.
  • Fines will be levied if it is not returned on time.
